Guide · LPG & Fuel Distribution

How to Choose Fuel Distribution Software

Fuel and LPG distribution is a high-volume, safety-critical business. The right ERP keeps your cylinders, dealers, and cash flow under control. Here is what to look for when comparing fuel distribution software.

1. Inventory tracking that understands cylinders

Generic inventory software tracks a single quantity per product. LPG distribution needs more: filled vs empty state, deposits, returns, and multi-warehouse balances. Look for software that tracks each movement (in, out, transfer, adjustment) with the cylinder state so you always know how many full cylinders and how many empties you hold.

2. Safety compliance and traceability

Regulators expect a paper trail: pressure test dates, batch numbers, dealer allocations, and delivery proofs. A good fuel distribution ERP records this data alongside your transactions rather than in a separate spreadsheet.

3. Dealer and route management

LPG businesses run through dealers and delivery routes. The software should manage dealer onboarding, credit limits, dealer-specific pricing, and route-wise dispatch. Bonus points for public dealer registration forms that flow directly into an admin queue.

4. Customer & supplier ledgers with running balances

Fuel is often sold on credit. You need per-party ledgers with debit/credit entries, running balances, and clear aging so collections do not slip. The ledger should be wired to invoices, purchase bills, and payments automatically.

5. Financial reports that match how you run the business

Sales, purchase, stock, profit & loss, trial balance, cash book, and party ledger reports are the minimum. Date-range filters and CSV export make month-end painless.

6. Role-based access & multi-tenant security

An owner, an accountant, a warehouse manager, and a salesman should each see only what they need. Multi-tenant software must isolate every company's data at the database level (row-level security), not just at the UI.

7. Mobile-first & fast onboarding

Delivery staff, dealers, and salespeople work on phones. Prefer web-based ERPs that run in a browser without installation, and that let a new company self-onboard without waiting on a support team.
